JOB PURPOSE:

The Executive Assistant position is responsible for providing high level assistance to the Executives of the company.  Providing exceptional customer service to our clients through support of the Executive team regarding the completion of their daily tasks and through assisting the executives with their strategic initiatives.   This individual will be responsible for performing an array of administrative functions requiring a high degree of confidence, enthusiasm and problem solving capabilities while working under limited direct supervision.
 

Additionally, the ability to interact with staff (at all levels) in a fast-paced environment, sometimes under pressure, remaining flexible, versatile and proactive, this position requires resourcefulness and efficiency.  The ideal poised and polished candidate should demonstrate experience in developing relationships in a highly-matrixed organization as well as experience in handling the administrative and executive support activities.    The successful candidate must have a track record of executing all responsibilities with complete discretion and utmost confidentiality.  
 

PRIMARY RESPONSIBILITIES:

• Interfacing with Executive, key leadership and operation teams to secure availability for planning and scheduling business appointments and/or meetings. 
• Coordination and scheduling of travel, air, hotel and related travel logistics, for Executives and other employees (as assigned) of the company.
• File executive expense reports according to established procedure.
• Manage Executive’s visiting guests for business meetings (to include transportation) and handle special projects/errands as assigned.
  • Administers the collections bonus and quarterly bonus programs for field employees.
  • Processes Diamond Club certificates.
  • Processes invoices and enters data into accounting software.
  • Manages and monitors Operations budget.
  • Manages event planning for special events, including company conferences and meetings: hotel accommodations, food services, transportation to and from DIA, guest speaker arrangements and team-building activity logistics. 
  • Creates various reports for Executives as needed.
  • Creates special projects for Executives as needed.
  • Completes all other projects or requests as assigned by Supervisor.
  • Manage 1 full-time receptionist

 
MINIMUM EDUCATION AND EXPERIENCE:

• High school diploma required.  Bachelor’s degree preferred.
• Minimum three years of experience as an C+ level Executive Admin.
